User Permissions
In the admin tab under each applicable user the following permissions will be needed.
For users that need to be able to set up and manage document approvals they will need the permissions for "Edit Project Settings" and "Edit Document Approval Workflow and Draw Roles".
For user that need to approve documents they will need the permission for "Approve Documents"
Managing Workflows
To set up document approval workflows navigate to Project Settings > Document Approval Workflows. Here you can see enabled and disabled workflows.
To set up a new workflow select “New Workflow". Next select the document type you would like the workflow to apply to. Then add reviewers as needed.
You will have the option to set minimum and maximum dollar amount thresholds. This can vary by each document type. Next you can set the amount of required reviewers.
Step 2 Will ask how you would like to apply the new workflow to documents.
You can choose how you want to apply to existing documents. Whether this be on active draw funded draws or just new documents moving forward.
Approving Documents and Managing Emails
Notifications for document approvals will display in each users To-Dos grouped by project. Selecting the notification will bring users to the projects document tab where they can approve, or they can open the document to review and approve there.
Require Approval To Post Document to Accounts Payable Integrations
This can be turned on or off for users with accounts payable integration in Project Settings > Document Approval Workflows toggle by toggling on the option.
Approval Activity
After users have completed their approval, there will be a history of approvals under the activity section. Here, it will display approvals that have occurred. It will also display if an approval has been removed, or if the document has been edited since the last approval, causing approvals to be removed and notifications to be resent.
For documents that have been edited after posting to an AP integration there will be a message that states "This document has been approved and posted". This edits will appear on the payments tab, but will not affect already posted information.
