Accessing the Central Inbox
Log in to your Rabbet account.
Look at the top navigation bar.
Click on Central Inbox (it's usually next to items like Organizations, Reports, etc.).
Once open, you'll see two main views:
Needs Assignment (default) — Shows new incoming documents that require your review and assignment.
All Inbox Documents — Displays previously processed/assigned items for reference.
Tip: The badge (e.g., "1" in orange) shows how many items need attention.
Your Central Inbox Email Address and Settings
Your organization's unique inbox email address (e.g., something like tomdemo@ inbox.rabbet.com) is where vendors send documents.
To view or manage settings:
In the Central Inbox, click the gear icon (⚙️ Inbox Settings) in the top right.
Here you can:
Copy your organization's Inbox Email Address (share this with vendors!).
Toggle Auto-select active draw (recommended — automatically assigns to the active draw if there's only one on the project).
Control which project statuses appear in the dropdown for manual assignment (by default: Active, Pre-Development, Under Contract; you can add others like Test, Inactive, etc.).
Pro tip: For best AI matching results, ensure your Rabbet project records include clear, unique project names and complete street addresses in Project Details. Ask vendors to include the project name/address in their document letterhead or email body.
Reviewing and Assigning Documents
In the Needs Assignment tab, find the document (search by file name or sender if needed).
Click View (the magnifying glass icon) under Actions — this opens a preview of the document.
In the preview modal:
View the Document tab (shows the invoice/pay app image/content).
Switch to the Email tab to see the full email context (sender, subject, body — useful for clues).
Review/edit AI suggestions:
Document Type (e.g., Invoice, Pay Application)
Project (dropdown — filtered by your settings)
Draw (dropdown — auto-selected if enabled and only one active draw)
Vendor (dropdown)
Assign to (team member for follow-up/review)
Click Save — this moves the document to the correct project/draw, starts classification/parsing (if applicable), and removes it from the inbox.

Note: The email itself is for context only — it doesn't get stored as a separate document in the project.
How Documents Appear and Get Processed
When vendors email attachments to your inbox address:
Rabbet uses advanced technology (a combination of state-of-the-art AI models and OCR technology) to analyze the sender, subject, email body, and document content to auto-match to the project and classify the document type (e.g., Invoice, Pay Application).
Status indicators:
Processed (green) — Confident match; just confirm.
Processing (yellow) — The document is being processed.
Needs review (red) — We were not able to confidently match the document to a project. Please review and manually select the appropriate project for assignment.
Supported file types: PDF, JPG, JPEG, PNG. Get full AI processing and previews. Other files appear but may need manual assignment (no preview yet). Max file size: 25MB. Multiple attachments in one email appear as separate inbox items.
Automatic notifications
Vendors who send documents to the Central inbox are automatically notified when their documents are received, eliminating the need for follow-up emails.
You can turn off automated vendor notification emails in Settings by disabling Auto-reply confirmation emails.
Additional Tips & Best Practices
Human in the Loop: We don’t auto-assign files without your consent. This ensures that you maintain absolute control over your project data.
Improving AI accuracy → Keep project names and addresses consistent and complete in Rabbet. Encourage vendors to always include project details in submissions.
Unwanted items → Use the ... (meatball menu) to delete irrelevant/duplicate items (irreversible — resend if needed). Once assigned to a project, manage/delete from the project side.
Forwarding existing inboxes → You can autoforward your current vendor inbox to Rabbet's Central Inbox address.
What happens next? → After assignment, go to the project → Documents tab (or click "Go To Project" if available) for full viewing, splitting, classification, parsing, approvals, etc.
Post-Assignment: Once assigned, the document moves to the project. To perform advanced tasks like document splitting or parsing, click Go to Document to open the full Project Document Viewer.
