On each project, you can adjust templates for loan-specific requirements: add or remove templates and items, and set rule details like contingency thresholds.
On each draw, rules and documents pass automatically once their criteria are met. Your team reviews and resolves the remaining items, or waives them with a note. Assignees, due dates, and answers are added on the draw.
This article covers permissions for org, project and draw level features, best practices for configuring Review templates, how to apply templates to project type and team, and how to run and draw reviews from the Review tab.
User permissions
Access to Review templates, Project Settings: Draw Review and the Review tab on the draw is controlled by user permissions. A permission only takes effect when it's enabled for both your organization and the user (or the user's SSO role). To update a user, go to Admin → Users → select the user and enable the permissions below.
Permission applies to | Recommended role | User permissions |
Review templates | Admin | Admin:
|
Project configuration | Project manager, loan administrator | Projects:
|
Draw review | Project manager, loan administrator | Draws:
|
Notes:
If a user doesn't have View draw review, the Review tab is hidden on draws. No error is shown.
New users and SSO roles start with all review permissions turned off.
Users no longer need the Draw assessment questions permission to see Assessment and Data point items on the Review tab.
Creating review templates
Review templates are set at the organization level and can be applied to any project.
Go to Admin → Review templates.
Select Create template and add a name and description.
Under Applies to, choose Automatic or Manual (see Applying review templates).
Select Add group to organize your checklist, for example Closing, Insurance or Interest reserves (optional, see Groups).
Select Add item to add checklist items from the item library, or create a new item.
Set when each item applies (see Applies on and Draws from).
Select Publish.
Item library
The item library is your organization's catalog of every reusable checklist item: rules, document types, assessments, data points and tasks. Find it under Admin → Review templates → Library.
Search and filter by item kind, and see how many templates use each item.
Add item opens the library first, so you reuse existing items rather than creating duplicates. If what you need isn't there, select Create a new item instead.
Change everywhere: editing a library item updates it on every template that uses it. Rabbet shows you which templates will change before you confirm.
Rules and document types are defined by Rabbet and always come from the library. You can write new Assessments, Data points and Tasks directly in a template.
Item kinds
Every checklist item is one of five kinds.
Kind | What it is | How it’s resolved |
Rule | A check against the draw’s data. | Once the draw’s data meets the rule, the item passes automatically. |
Document | A required document. | Once a document classified as the specified type is on the project or draw, the item passes automatically. |
Assessment | A question that needs a person’s judgment. | Once the question is answered, the item is resolved. |
Data point | A value your team records, such as an amount, a date, or a selection. | Once the value is entered, the item is resolved. |
Task | Work your team completes during the review. Owners and dates are set on the project. | Once a teammate marks it complete, the item is resolved. |
You can now create new Assessments and Data points right in the template. Every Assessment needs a question before the template can be published.
Item fields
Each item has a Title, a control specific to its kind, and Notes for reviewer instructions.
Assessment: choose How is this answered? (yes/no, a list, or free text).
Data point: choose the Data format (currency, percentage, date or a list).
Rule and Document: the title is filled in from your selection.
Document item options
Require the final version: for Title Endorsements and Lien Waivers, the item only passes when the document of type is uploaded and marked as final. The item is renamed, for example "Final Title Endorsement".
Expiry: for document types that expire, such as insurance certificates, Rabbet reads the expiration date from the document. Choose Look for it anywhere on the project so a renewed certificate uploaded anywhere on the project clears the item on its own. Expiring documents show a badge, and the draw item serves as the notice.
Applies on and Draws from
These settings keep each draw's review limited to the items that matter for that draw. Rabbet updates an unfunded draw's checklist automatically when its requested amounts or final-draw setting change.
Applies on sets which draws an item appears on:
Every draw
First draw (use this for closing items)
Final draw (use this for closeout items). This follows the draw's This is expected to be the project's final draw setting, which can be changed after the draw is created.
A range of draws, for example draws 3–5
Draws from limits an item to draws that request funds from certain kinds of line items: Hard costs, Soft costs or Interest reserves. The item appears when the draw requests more than $0 on any line of a selected kind. If you select more than one, the item appears when the draw draws from any of them.
Groups
Groups are flexible by design and help organize your template and let you set Applies on and Draws from once for many items. Every item in a group inherits the group's settings unless the item has its own setting, which overrides the group. The template shows which items inherit and which override. Groups do not change how items are reviewed on a draw.
Best practices
Closing checklists
Create a group for closing items and set Applies on to the first draw. Use Document items where you can, like title, survey and insurance, so they pass automatically once uploaded. Keep items you need on every draw, such as current insurance, in a separate group.
Interest only draws
Create a group for interest items and set Draws from to interest reserves. It appears whenever a draw requests interest. Set construction groups, like inspections and lien waivers, to draw from hard costs. They’ll drop off draws that only request interest. Keep your every-draw items short, since they appear on interest only draws too.
Starting from your existing setup
You don't have to build a template from scratch. Select the arrow next to Create template to start from something you already use:
Start from your current setup: Rabbet suggests items based on the rules, draw assessment questions and tasks already configured in your organization. Rules you've set up manually are matched to existing questions in your item library, or new questions are created for them.
Start from a configured draw: pick a draw that's already set up the way you like, and Rabbet builds a template from the items on that draw.
Review the suggested items, adjust Applies on, Draws from and add Groups as needed, then publish.
Applying review templates
Once a template is published, you can apply it automatically, based on project type and team, or manually to a specific project or draw.
Changes apply going forward. Applying or updating a template affects open, paused and future draws only. Funded and deactivated draws are not changed, so their review history stays intact for audit purposes. Applying a template adds items and does not remove any work already completed on a draw. If you apply a template to a single draw rather than a project, later updates to the template do not apply to that draw.
Automatic
Open a review template and, under Applies to, select Automatic.
Select the project types and teams the template should apply to.
Select Publish.
Manual
Open a review template and, under Applies to, select Manual.
Return to the list of review templates.
Choose one of the following from the template's apply menu:
Apply to a specific project: Rabbet adds the template to the project's open and paused draws and to every new draw. Later changes to the template carry through to open, paused and new draws.
Apply to a specific draw: Rabbet adds the template to that draw only. No other draws are affected, and later changes to the template are not applied to this draw.
Select the project or draw, then select Apply template.
Project-level settings
You can see which templates apply to a project and turn off items that don't fit that loan. This requires the Edit project settings permission.
Go to the project's Settings → Draw review.
Review the templates attached to the project. They're shown read-only here; edit them under Admin → Review templates.
Select Customize review items.
Mark any item that doesn't apply to this project as Not needed, and add an optional reason.
Items marked Not needed are removed from future draws on this project only. Use this when a requirement is waived for the whole loan. To skip an item on a single draw, waive it on the Review tab instead.
Managing draw review
The Review tab brings every checklist item for a draw into one place. Go to Draw → Review to work through it.
Filtering by status
Use the status filter to focus your review:
Unresolved (default): items that still need attention. Items drop out of this view as you resolve them.
Critical: failed rules, missing documents and overdue tasks.
Resolved: items that have passed, been answered or been waived.
All: every item on the draw.
Waiving an item
If an item doesn't apply to this draw, select Waive from the item's menu and enter a reason. A waived item is resolved for the current draw only.
If the item doesn't apply to the project at all, turn it off in Project-level settings instead.
Adding an item to a draw
You can add two kinds of items directly from the Review tab:
Task: apply it to this draw only, or to all open and future draws on the project.
Assessment: applies to this draw only.
How the checklist stays current
Until a draw is funded, Rabbet updates its checklist when the requested amounts change or when it's marked as the final draw. Items that now apply are added. Items that no longer apply are hidden, and come back with any work already done if they apply again. Funded draws are never changed.
Tasks & Timelines
Task items in a review template work like the tasks you already use in Rabbet. You can also create tasks without a due date. Owners and dates are set on the project, and tasks created from a template also appear on the project's Timeline tab.
